What is the AI Consultation?
Most businesses know they should be doing something with AI, but few know exactly what that something is, or where to start. The AI Consultation is designed to change that.
In 90 focused minutes, we learn how your business actually operates: where decisions get made, where work gets stuck, and which processes your team dreads most. By the end of the session, you'll have a prioritized list of automation opportunities specific to your business, a realistic picture of what implementation would involve, and honest answers to whatever questions you came in with.
There's no sales pitch. No slides. No pre-built demo that has nothing to do with your situation. Just a real conversation that gives you something useful to act on.
What we cover in the session
- Your current workflows: We talk through the processes that consume the most time and attention in your business, focusing on anything repetitive, manual, or decision-heavy.
- Your existing tools: We look at what you're already using and where it's falling short, so we don't recommend solutions that duplicate what you have.
- Your team's capacity: We learn who is doing what so we can identify where automation creates the most leverage for the people involved and help identify leaders in your teams.
- Automation opportunities: We identify and rank concrete automation candidates, with a rough estimate of the time savings and complexity for each.
- Your questions: Whether you're wondering if AI is right for you, evaluating a specific tool, or trying to understand what a full implementation would cost, we'll give you honest answers.

After the consultation, you'll receive a written summary of what we discussed, including the automation opportunities we identified and our recommended next steps. This document is yours to keep and act on, regardless of whether you engage us further.
Most clients find the consultation valuable on its own. They leave with a clear picture of what's possible and a prioritized list of opportunities they can act on internally or with another partner. Others use it as the starting point for a deeper engagement with Efficient Futures.
How to prepare
You don’t need to prepare extensively. That’s what the session is for. A little thought beforehand just helps make the conversation more productive.
Before we meet, it helps to have a rough sense of: which tasks in your business feel most repetitive or tedious, where your team spends time that you wish they didn't have to, and any tools or software you're currently using. You don't need to document any of this formally. A mental list is enough.
If you have a specific process in mind, mention it at the start. It might be a sales workflow, an onboarding sequence, a reporting routine, or any process that feels like it consumes more time than it should. We'll make sure to spend time there. If you're not sure where to focus, that's fine too. Part of what we do in the session is help you see your own business with fresh eyes.
Patterns we see most often
Across businesses we've consulted with, a few themes come up repeatedly. You may recognize your situation in one of them:
- The bottleneck that's invisible until you look for it. Many businesses have one or two workflows that quietly consume 10–15 hours per week, spread across multiple people in small increments. No single person feels the full weight of it, so it never rises to the level of "we need to fix this." The consultation makes it visible.
- Tools that don't talk to each other. Most small businesses use 5–10 software tools. Almost none of them are connected. Data moves between them by hand: copy/paste, re-entry, manual exports. This is almost always the first category of automation worth addressing because the fixes are relatively straightforward and the time savings are immediate.
- Follow-up that falls through the cracks. Leads that don't convert because no one followed up. Invoices that go unpaid because the reminder never got sent. What this isn't
Just a few things worth being direct about, because they matter to the clients with whom we work best.
This is not a sales call with a consultation wrapper. We don't have a standard proposal waiting to be sent after the session. We don't have a quota to fill or a minimum engagement size we're angling toward. If we talk for 90 minutes and the honest conclusion is that you don't need a consultant and can handle what you've learned on your own, we'll say so.
This is also not a demo of a platform we've been paid to promote. We don't have reseller relationships that shape our tool recommendations. We recommend what we think is right for your situation, which sometimes means tools you've never heard of and sometimes means tools you already have and aren't fully using.
What it is: a real conversation with someone who has built automations for businesses like yours, who will tell you what they actually think, and who measures success by whether you leave with something genuinely useful, regardless of what comes next.
