Common questions
Everything you should know before hiring an AI consultant.
Clear answers to the questions we hear most often, covering AI automation, our process, timelines, and what working with Efficient Futures actually looks like.
About AI automation
Understanding what AI can do for your business.
- What does an AI automation consultant do?
- An AI automation consultant identifies where your business is losing time to manual, repetitive, or error-prone processes and designs and implements AI-powered systems to handle those tasks. At Efficient Futures, we map your workflows, build the automation, and make sure your team can use it confidently from day one.
- Is AI automation right for small and mid-sized businesses?
- Yes, and often more so than for large enterprises. Small and mid-sized businesses have the most to gain because every hour saved goes straight to the bottom line. The key is starting with the right workflows: ones where automation creates durable leverage without disrupting how your team already works.
- What kinds of business workflows can be automated with AI?
- Common high-value targets include document review, data entry and reporting, customer follow-up sequences, internal approval chains, scheduling, invoice processing, and any repetitive task built on consistent rules. If a workflow takes more than two minutes and happens more than a few times per week, it's worth evaluating.
- What's the difference between AI automation and regular automation?
- Traditional automation follows rigid rules: if X happens, do Y. It breaks the moment something unexpected occurs. AI automation can handle variation, understand context, and make judgment calls within defined boundaries. That makes it far more resilient in real-world business environments where inputs are rarely perfectly consistent.
Our process
How we work and what to expect.
- How long does it take to implement business automation?
- Most initial automation projects are scoped and live within four to eight weeks. We begin with a focused discovery phase to identify quick wins, then build and deploy in tight iterations so you see measurable results before the full project is complete.
- What does your AI consultation include?
- The AI consultation is a 90-minute session with no obligation or sales pitch. We learn about your business, your processes, and your biggest operational pain points. By the end, you'll have a prioritized list of automation opportunities and a clear sense of what implementation would look like. Most clients find it valuable even if they don't engage us further.
- Do you work with businesses in specific industries?
- NO, we work across industries including investment advisors, professional services, healthcare-adjacent businesses, construction and trades, retail, e-commerce, real estate, and more. The automation opportunities vary by industry, but the process for finding and building them is the same.
- What information do you need from us to get started?
- Very little to start. We start with a free no-obligation conversation to get to know each other and see where we could possibly provide value. When we move into strategy and implementation services, we'll need access to your current tools, an understanding of your key workflows, and time with the people who actually run those processes.
Costs & timelines
What it costs and what you can expect to get back.
- How much does AI consulting cost?
- We begin with a 30-minute consultation offered at no charge. Subsequent engagements are scoped and priced based on complexity and duration. We provide clear, fixed-scope proposals so there are no billing surprises. Most project-based engagements are priced per scope, not per hour. This provides a known cost that ensures a good ROI.
- What kind of ROI should we expect from automation?
- A well-chosen automation typically saves between 5 and 20 hours per week depending on the workflow. At a fully loaded labor cost of $35–$50 per hour, that's $9,000–$52,000 in annual value per automation. We help you calculate your specific numbers before you commit to anything.
- Do we need technical staff to maintain AI systems after implementation?
- No. We design every system for non-technical operators. Your team receives full training at implmentation, and we offer ongoing support through our Outsourced AI Support track if you want a partner to manage and improve the systems over time.
- What if an automation doesn't perform as expected?
- Every engagement includes a testing and refinement period before we hand it off. If something isn't performing after go-live, we diagnose and fix it. We don't consider a project complete until it's actually working reliably in your real business environment.
